QGate CRMMigrate™ is a user-friendly application used to migrate your data from salesforce.com or GoldMine to M or Microsoft Dynamics CRM 2011. Easy to use, it provides a powerful, robust and intuitive CRM data migration tool.

With QGate CRMMigrate, critical customer data can be pre-populated within Microsoft Dynamics CRM quickly and cost effectively without the risk of losing data. User-friendly and flexible, CRMMigrate can work with hosted, on premise and Online (US) Dynamics CRM, allowing you to choose how to migrate your data.

Getting Started

This article lists the pre-reqs and outlines the processes required for a successful migration from salesforce.com or GoldMine to Microsoft Dynamics CRM using the QGate CRMMigrate solution to migrate your data.

CRMMigrate supports migration to on premise and hosted CRM instances.  QGate offers CRMMigrate as a service and as a self service product.

Below is a  list of the various scenarios covered in this article, identify the option appropriate for your setup and follow the instructions for that option.

Scenarios

A. QGate Migration Service

Option 1: Both Microsoft Dynamics CRM & CRMMigrate On premise
Option 2: Microsoft Dynamics CRM Hosted  & CRMMigrate On premise
Option 3: Microsoft Dynamics CRM Hosted  & CRMMigrate Hosted by QGate

B. Self Managed Migration

Option 4: Both Microsoft Dynamics CRM & CRMMigrate On premise
Option 5: Microsoft Dynamics CRM Hosted & CRMMigrate On premise
Option 6: Microsoft Dynamics CRM Hosted  & CRMMigrate Hosted by QGate

 


Scenario A: CRMMigrate as a service from QGate

Pre-requisites for Option 1 & 2:

Customer to ensure the following are available:

  • Windows Server on which CRMMigrate is to be installed, a Windows workstation may suffice for smaller migrations
  • Server to have SQLExpress 2005 or higher installed.  Access rights available to be able to create databases and tables/fields within the databases
  • Server to have the Microsoft .Net Framework version 3 or above installed
  • Server has Internet access
  • Remote desktop access to above server - Login/Password (alternatively QGate can use Microsoft Live Meeting to access, but this requires a local presence to allow connection)
  • Details for Microsoft Dynamics CRM URL
  • Microsoft Dynamics CRM login and password for user with admin rights
  • Source data location/extract available on CRMMigrate server or Source System login details
  • Download the QGate provided XML config file.  There are specific XML config files to support source systems of salesforce.com and Goldmine.

Pre-requisites for Option 3:

Customer to ensure the following are available:

  • Details for Microsoft Dynamics CRM URL
  • Microsoft Dynamics CRM login and password for user with admin rights
  • Source data extract available to QGate or Source System login details

Service Process Outline

Customer Actions for Options 1, 2 & 3

  1. Import the QGate supplied customizations.xml file for the data source type i.e. salesforce.com or GoldMine
  2. You should import and apply these customizations from the xml file prior to making any or your own customizations in CRMMigrate
    Note:
    If you have already made customizations to Microsoft Dynamics CRM, you should export those customizations to an .xml file, import and publish the CRMMigrate customizations, then import and publish your own customizations from the file you created.
  3. Add any additional customized entities and fields required for the migration to Microsoft Dynamics CRM
  4. Add currencies required for your use in Microsoft Dynamics CRM
  5. Add all users in Microsoft Dynamics CRM with appropriate roles to match all users in source system including retired users.  By using the same email names CRMMigrate will automatically link the records.  Linking all users in this way retains the historic links of users to data, such as completed activities etc.
  6. Provide access for QGate to install CRMMigrate, then once installed
  7. Confirm list of entities to be migrated
  8. Confirm user mapping
  9. Confirm identifiers for accounts/leads (GoldMine only)
  10. Confirm identifiers for Task Types (salesforce only)
  11. Confirm Status mappin
  12. Option 3 only: Backup database and send to QGate

QGate Actions for Options 1, 2 & 3

  1. QGate will setup and run a test migration
    Note: This test migration can be run in customer environment if multi-tenancy system available or on QGate site if backup of empty organisation provided.
  2. QGate will review test migration results with customer
  3. QGate will make any adjustments to CRMMigrate setup agreed with customer
  4. Customer to freeze source system and obtain fresh source data files if appropriate
  5. QGate will manage live migration
  6. Customer to review/test and sign off migration to Microsoft Dynamics CRM

 


Scenario B: Self Managed Migration

Pre-requisites for Options 4, 5 & 6

Customer to ensure the following are available:

  • Server on which CRMMigrate can be installed
  • Server to have SQLExpress 2005 or higher installed.  Access rights available to be able to create databases and tables/fields within the databases
  • Server to have the Microsoft .Net Framework version 3 or above installed
  • Server has internet access
  • Details for Microsoft Dynamics CRM URL
  • Microsoft Dynamics CRM login and password for user with admin rights
  • Source data location/extract available or Source System login details.
  • Customer to ensure following supplied to QGate to allow licence setup:
  1. A name for the project such as “Your Company”
  2. A valid email address.  This email address is used for the logon within CRMMigrate
  3. The number of System User setup in the Microsoft Dynamics CRM organisation

Self-Managed Process Outline (Options 4, 5 & 6)

  1. Download and install CRMMigrate if not already installed
  2. Import the QGate supplied customizations.xml file for the data source type i.e. salesforce.com or GoldMine. 
  3. You should import and apply these customizations from the xml file  prior to making any or your own customizations in CRMMigrate
    Note:
    If you have already made customizations to Microsoft Dynamics CRM, you should export those customizations to an .xml file, import and publish the CRMMigrate customizations, then import and publish your own customizations from the file you created.
  4. Add any additional customized entities and fields required for the migration to Microsoft Dynamics CRM
  5. Add the currencies required for your use in Microsoft Dynamics CRM
  6. Add all your users in Microsoft Dynamics CRM with appropriate roles to match all users in your current database setup including retired users.  By using the same email names CRMMigrate will automatically link the records.
  7. Backup the empty Microsoft Dynamics CRM database 
  8. In CRMMigrate confirm list of source entities to be migrated
  9. In CRMMigrate confirm and setup user mappings in CRMMigrate
  10. In CRMMigrate confirm and setup identifiers for accounts/leads (GoldMine only)
  11. In CRMMigrate confirm and setup identifiers for Task Types (Salesforce only)
  12. In CRMMigrate confirm and setup Status mapping
  13. Run full test migration
  14. Review and test Microsoft Dynamics CRM system
  15. Make any amendments required to source/destination or migration settings
  16. Restore empty database, backed up in step 7
  17. Freeze source system; Extract/refresh source data in CRMMigrate
  18. Run live migration
  19. Review and test the live Microsoft Dynamics CRM system
